FAQ

ASK THE GREAT PARNAC

Ask IAFE Program Chair, Jeremy Parsons, CFE - ANYTHING about Convention!

Oh Great Pubah, oh sorry, Parnac. Will bringing my Fair's tax exempt form work for avoiding state and county sales tax or do I need to provide additional documents? If so what documents are these? Thx guy!

Please see the state of Texas Rooms Occupancy tax form (PDF) which is required backup.  It lists who qualifies and if you have to be registered with the state with an 11-digit taxpayer ID number.
You can also visit their website in case you need to do further research and can confirm if your entity is registered:  https://comptroller.texas.gov/taxes/exempt/search.php

Was trying to find date and times Dr. Temple Grandin would be speaking...?

We are looking forward to hearing Dr. Grandin speak during Tuesday morning's General Session, from 8:30 a.m. - 10:00 a.m.

Question about the 3 day meal ticket. I would guess it would be for the Convention Center food services? Would you happen to know of the food choices? Typical Convention Center food such as hotdogs/hamburgers or a wider variety of food choices? Thank you!

It will be a buffet (not hamburgers and hot dogs) on Monday and Tuesday.  Wednesday will be a box lunch for ease of handling because it is being served in the Trade Show.

Jeremy, I know in the years past in Las Vegas there was a contest or exhibit on marketing/advertisment displays that fair could exhibit there graphic design work do you know how we enter for this?

The contest items displayed in our Ed Shed at Convention are likely from the Hall of Honor Communications Awards.  More information on our contests can be found here: www.iafecontest.com.  For additional information, please contact IAFE Membership Services Coordinator, Brittney McBride.

Where do I find information on showcasing my band?

Showcasing slots are currently sold out.  Please complete the Beyond the Booth Showcase form to be placed on a waiting list.  You can also visit www.iafeconvention.com/tradeshow for additional marketing opportunities!

Is there a trade show only ticket available for the convention this year?
There is a one-day pass available for purchase on-site.  This pass not only allows you access to the Trade Show but also access to workshops and regular programming.  The cost of the pass is $200 per person, per day.  If you will attend more than one day, register now as an attendee for a better value with even more benefits!

Does the Convention Center have water bottle-filling stations?

Yes. Bring your water bottles and refill all day.

We are exhibitors and this will be our first time flying to Convention. Does IAFE have any recommendations for shipping our booth?

Shipping information will be included in the Exhibitor Kit – to be sent in late August. Paramount is the official freight handler.

Is there a smoking area in the Convention Center?

Yes. Smoking is allowed outside the Convention Center in several designated areas with plenty of seating.

If I don’t purchase the 3-day lunch ticket, will I be able to purchase onsite?

No. Lunch tickets are only available for purchase in advance.

Are there phone/tablet/laptop charging areas available in the Convention Center?

Charging stations are located throughout the Convention Center's many seating and lounging areas.

How far will I have to walk to the Convention Center from my hotel?

Your Association staff has done a great job of measuring distances to the Convention Center from the various hotels.  Please see the map here for an overall comparison in relation to walking at our Las Vegas location.

Will you have mass/religious services available at Convention?

Yes. See program for scheduling.

Will I be able to print my boarding pass at the Convention?

There are two printing stations in the Convention Center.

Is the Convention Center handicap accessible?

Yes.  There are elevators close to the entrance to the Convention area as well as handicap accessible restrooms throughout the center.

Why is the Convention leaving Las Vegas?
The contract with the Paris/Bally’s hotels ends after the 2017 Convention. Only one Las Vegas hotel even bid on the 2018-2019 Convention. That hotel’s proposed room rate was the highest of all responding hotels in the final review. In addition, your Association would be subject to penalties of up to $250,000 if members stay in hotel rooms outside the IAFE room block.  Finally, the hotel demanded an unreasonable minimum guaranteed expenditure for food and drink at the Convention.

Where will Convention events in San Antonio be held?
The Henry B. Gonzales Convention Center will be the center of activity for the Convention. The Trade

Show will be on the ground floor and directly above will be educational sessions, informal networking areas

and meal functions. The general sessions will take place in the elegant Lila Cockrell Theatre, also located in the Convention Center.

I'll be walking a greater distance than I did at Las Vegas during the past Conventions.  Right?

WRONG! Six hotels are all closer to the meeting space than the distance between the elevators in The Paris hotel and the Bally’s Event Center meeting space in Las Vegas.
